Job Summary:
The Executive Assistant serves as an integral member of the Naval Power / Naval Surface and Undersea Systems (NSUS) Contracts team. This position is responsible for performing a variety of administrative tasks, reporting directly to the Executive Director of Naval Power Contracts and the Associate Director of NSUS Contracts. The person in this role will be expected to demonstrate strong integrity, judgment, organization and discretion as a member of the Naval Power Contracts team.

This position can be located in either Tewksbury, MA or Portsmouth, RI.

Responsibilities to Anticipate:
  • Function as a member of the Naval Power Contracts and NSUS Contracts Team, attending staff meetings and other meetings as required; record and distribute actions post meetings
  • Manage calendars and e-mail for NSUS Associate Director of Contracts; provide direct support to Executive Director, Naval Power Contracts as needed
  • Manage phones
  • Create and/or edit presentations, reports, correspondence and memorandums, utilizing Powerpoint, Excel, and Word
  • Order supplies as needed
  • Make necessary travel arrangements and process Expense Reports in a timely manner
  • Coordinate visit requests
  • Arrange conference rooms, catering, and off-site venues
  • Oversee, coordinate, and/or initiate new-hire on-boarding and employee status changes
  • Create and maintain organizational charts
  • Arrange and coordinate events
  • Ensure training and other deadlines are met
  • Manage action items from Raytheon Missiles & Defense (RMD) and Naval Power Leadership
  • Utilize an integrated contract management system (ICMS) for Contract Management actions and reporting requirements
Qualifications You Must Have:
  • Associates degree or 2 year post high school training
  • Six (6) years of administrative experience
  • Experience with Microsoft Office products
  • The ability to obtain and maintain a US security clearance. U.S. citizenship is required as only U.S. citizens are eligible for a security clearance.

  • Ability to arrange meetings and visit requests using Raytheon tools
  • Ability to maintain the confidentiality of privileged information
  • Personable, approachable and engaging; ability to represent Naval Power Contracts in a professional manner
  • Comfortable interfacing with all levels of the organization
  • Knowledge of company policies and office procedures
  • Ability to proactively anticipate and identify needs and expectations of the department and integrate into work process
  • Exercise mature judgment and ability to work independently under minimal supervision
  • Ability to adapt and learn new skills quickly
  • Communicate with confidence
  • Proficient with Web-based tools such as Remedy, RayTrack, SPEED, CAFM, MeetingSmart, RShare, ServiceNow

This position requires the eligibility to obtain a security clearance. Non-US citizens may not be eligible to obtain a security clearance. The Defense Industrial Security Clearance Office (DISCO), an agency of the Department of Defense, handles and adjudicates the security clearance process.
