Project Portfolio Coordinator

We have an opening for a Project Portfolio Coordinator to support infrastructure project portfolio reporting. You will be part of an interdisciplinary team reviewing monthly reports generated by project managers and will be rolling up that information into portfolio reports distributed to stakeholders. You will interact with internal and external customers, management personnel, project managers, project controls analysts, and administrative personnel. This position is in the Project Management Office (PMO).

This position will be filled at either level based on knowledge and related experience as assessed by the hiring team. Additional job responsibilities (outlined below) will be assigned if hired at the higher level.

In this role, you will

  • Provide portfolio performance status reporting, issue identification, and problem-solving.
  • Review monthly data/reporting for accuracy and consistency and coordinate with project teams to make corrections as required.
  • Maintain the PMO Master Project List and generate monthly portfolio reports and other ad hoc reports.
  • Prepare and assist in presentation of graphic presentations of portfolio performance at general and formal meetings such as the 90-day look ahead meetings, Integrated Project Team (IPT) meetings, and Director's Reviews.
  • Assist in the coordination, quality, and consistency of baseline changes for PMO projects by coordinating high level institutional approvals, ensuring that the requested change is compliant with change control policies and procedures.
  • Gather and analyze data to evaluate requirements and specifications to ensure accuracy on quality control documentation and process flow.
  • Coordinate efforts for the project managers to ensure action items are added, tracked, and reported out on a regular basis.
  • Assist in the development of project management documents such as reports, decision memos, external responses, and action items.
  • Perform other duties as assigned.

Additional job responsibilities, at the E01.3 level

  • Prepare and monitor performance data and independently develop complex monthly reports to identify cost trends, schedule variance analysis and schedule impacts; Independently address areas of concern with appropriate follow up to Project Managers or PM Operations Department Head.
  • Use statistical tools to analyze metrics, and report cost, schedule and milestone and to prepare recovery or corrective action plans.
  • Utilize knowledge of Project Management principles to research, gather, and analyze information (e.g., budget, duration, scope, justification, and deferred maintenance) to be used in complex reporting documentation, audits, and presentations to Division, Department, and Directorate senior management.
  • Conduct assessments of current processes and identify improvement opportunities and participate in defining, automating, and improving new and existing business processes and workflows.

  • Ability to obtain and maintain a U.S. DOE Q-level security clearance which requires U.S. citizenship.
  • Bachelor's degree in Business or equivalent combination of education and related experience.
  • Experience with project management and applying related practices, standards, and processes.
  • Ability to pull information from various sources and use general business analysis techniques to anticipate, identify, and resolve issues and report on performance.
  • Experience using Microsoft Office tools for spreadsheets, word processing, and graphics necessary in developing and implementing specialized reports.
  • Experience working independently with general direction and demonstrated ability to establish own work priorities and to execute assignments, meeting time-sensitive deadlines and working on multiple tasks simultaneously. Experience effectively applying good judgment, discretion, and problem-solving skills to identify solutions and resolve issues.
  • Experience working as part of a multidisciplinary team in a technical support environment, collaborating with others, and recommending process improvements.
  • Effective communication and organizational skills, customer support, task prioritization, attention to detail, accuracy, and follow through.

Additional qualifications at the E01.3 level

  • Knowledge of financial accounting and/or project controls functions, including cost control and cost analysis, and planning and scheduling functions, including schedule development, control, and analysis.
  • Proven experience with organizational, problem-solving, and decision-making skills necessary to advise, recommend actions, and implement solutions problems of significant consequence.
  • Experience performing statistical analyses and utilizing business analysis techniques to anticipate, identify, and resolve time-urgent requests and issues.
  • Experience gathering, analyzing, evaluating, and interpreting data for purposes of documenting and justifying functional needs.
  • Experience in the development of complex report information and presentation generation for senior management consumption.
  • Ability to communicate clear expectations on project and process activities, as well as lead the facilitation of business process improvements.

Qualifications We Desire

  • Experience in LLNL finance or accounting.
  • Knowledge of Project Management principles: cost, scheduling, estimating.
  • Knowledge of earned value reporting software tools such as Primavera (P6) or MS Project; and ability to learn new software applications.
