Job Description

This position is for a Project Administrator who will provide support to ongoing DoD programs in Smyrna, GA. This individual will manage; coordinate; and perform administrative and procurement support activities required by assigned research faculty members and government personnel. Tasks include organizing and preparing correspondence; developing reports and other documentation; scheduling meetings and events; and procuring and tracking hardware and software. The successful candidate will have proven hands-on experience as a project administrator and procurement specialist providing support for technically focused clients. Must have excellent attention to detail and be a self-starter.

Job Duties

  • Track, manage and validate project financial expenditures for government-sponsored programs
  • Support Project Manager as needed in daily project execution (scope, schedule, and budget)
  • Support the creation, submission and management of prime and sub-contract documents
  • Develop and submit recurring and ad hoc internal and external reports; e.g., status reports
  • Enter purchase orders through an accounting system
  • Communicate with vendors to verify specifications and schedules, and match requirements
  • Maintain accountability for procured items using individual (e.g., Excel) and government tracking systems
  • Complete and track internal and government procurement documents
  • Liaise with the financial points of contact to track procurements, procurement budgets, and other expenditures
  • Perform other related duties as assigned

Education & Length of Experience

Research Associate I

  • A Bachelor's degree in Business, Engineering, Management, Communications, or Information Systems.

Required Minimum Qualifications

  • Minimum 5 years’ experience as a project administrator or procurement specialist working in an environment supporting technical and engineering focused clients
  • Must be able to frequently lift, carry, and otherwise move and position objects weighing up to 50 pounds
  • Excellent written and verbal communication, exceptional interpersonal skills, attention to detail, customer service and organization skills; ability to prioritize tasks, and work independently or in a team environment

Preferred Qualifications

  • Proficiency with Excel
  • Experience with Workday Procurement module
  • Experience with workflows for parts supply and fabrication of complex assemblies

U.S. Citizenship Requirements

Due to our research contracts with the US federal government, candidates for this position are required to be US Citizens.

Clearance Type Required

Ability to obtain Secret Clearance upon hire
