Raytheon Missiles and Defense is seeking an Executive assistant, located in the Tewksbury, Massachusetts area. This position will support the Portfolio Area Director (PAD) for INDOPACOM Programs within the Land Warfare & Air Defense (LW&AD) Mission Area.

This is a high volume position, primarily supporting the INDOPACOM PAD, but also providing support to other leaders and employees across the portfolio, as needed. The INDOPACOM portfolio includes multiple countries, customers, and programs; the selected candidate must be comfortable with task prioritization, and demonstrate a high degree of organizational efficiency.

This role will provide direct support to a senior leader within the Mission Area, and interface with other senior-level leaders across the Mission Area and other functions. There is the expectation of awareness to understand the internal hierarchical structure within the organization by learning the internal and external senior executives styles and standard operating principles. As such, the selected candidate must exhibit the utmost levels of professionalism and utilize strong interpersonal skills to build relationships with these key stakeholders.

The Executive Assistant is expected to maintain a high degree of confidentiality, and will need to exhibit discretion when handling sensitive information related to internal and external efforts. Responsible for planning and coordinating various events, meetings, customer and supplier visits. This includes coordinating required materials, reserving conference rooms, setting up calls, catering services and video conferences as needed. Additionally, the role will coordinate domestic and/or international travel according to policy, and accurately prepare and submit expense statements in a timely manner. Be culturally adept when interacting with domestic and international customers, including a demonstrated proficiency working with international teammates and colleagues located across the world. Must also be sensitive to working across multiple time zones given the global footprint of LW&AD programs.

Additional responsibilities include but are not limited to the following:
Ability to work a flexible schedule that may require overtime or extended hours on occasion
Prioritizing schedule and calendar of assigned leader(s);
Coordinates executive-level communications to include customer briefings, meetings, conferences, and/or business functions;
Directs and screens incoming calls, composes miscellaneous correspondence, forms, reports, presentations, letters, budget reports, etc
Reviews and tracks assigned budgets (Achievement Awards, office supplies, etc.) to ensure leader is aware of transactions and budget constraints;
Responds to questions related to office operations and administrative processes in support of the program leadership;
Composes reports, charts, and presentations to include inter-office correspondence and emails;
Edits and processes final documents for appropriate grammar and syntax;

Basic Qualifications:
At least 6 years of related administrative experience
High School Diploma or equivalent
Experience with calendar management, meeting scheduling and coordination, planning events, expense reports and data reports
Experience working on mobile devices or similar technology for various methods of communication

Desired Qualifications:
Bachelors Degree in related discipline and/or Professional Certification in Executive Administrative role;
Demonstrated excellent attention to detail, ability to work independently with minimal supervision and adapt to changes in priorities in a fast-paced environment
Customer-service experience (internal or external)
Results oriented and customer focused with excellent organizational skills;
Ability to work on multiple projects and tasks simultaneously, tolerate ambiguity; work well with others and resolve problems in a timely and professional manner;
Ability to communicate and direct work to others at the request of the Senior Leader;
Proficient in Microsoft Office to include Excel, Power point, and Word; Basic analysis of data and working knowledge of collaboration tools, web interface, intranet, internet, word-processing, spreadsheets, and presentations;
Excellent written and oral communication skills, including excellent phone skills and the ability to maintain confidences.
Ability to maintain neutrality and calm demeanor in emotional situations, ability to communicate and negotiate with tact and persuasion when interacting with employees and customers at all management and leadership levels.
Knowledge of company policies and procedures;
Some experience interfacing with both domestic and international customers, suppliers and businesses.
Capable of working in a fast-paced, dynamic, and flexible work environment; Overtime may be required to meet the business demands
Ability to coordinate teams across a wide range of locations (countries) and time zones

This position requires the eligibility to have or obtain a security clearance. Non-US citizens may not be eligible to obtain a security clearance. The Defense Industrial Security Clearance Office (DISCO), an agency of the Department of Defense, handles and adjudicates the security clearance process. Security clearance factors include, but are not limited to, allegiance to the US, foreign influence, foreign preference, criminal conduct, security violations and drug involvement. Employment is contingent on other factors, including, but not limited to, background checks and drug screens.

This position requires either a U.S. Person or a Non-U.S. Person who is eligible to obtain any required Export Authorization.
