Job Description:

Integrated Missile Defense Solutions (IMDS) Program Area Director is seeking an Executive Assistant to provide a full range of direct administrative support. This position will assist the IMDS Program Director and provide additional support to the entire IMDS PAD program team. Duties and functions may include the interview and referral of callers and taking actions from telephone discussions. Arrange meetings, conferences and orchestrate program reviews. Arrange calendar, organize travel, process expense reports, and schedule meetings for the Program Director. Interface with external customers and Raytheon leadership in a professional and constructive manner. Follows proper EXIM and security processes. Handle details of a sensitive nature with discretion. This position is located in Huntsville, AL

Key Responsibilities:

  • Manage calendars and e-mail for leadership including the IMDS PAD, NGI Director, and the RAD Director
  • Manage phones, record and deliver messages
  • Arrange travel schedules/reservations, and prepare business expense reports in a timely manner
  • Use a variety of software applications to prepare correspondence, charts or technical data
  • Perform special assignments and administrative duties which may involve specialized aspects of the directors responsibilities
  • Coordinate employee office moves (i.e. telephone, computer, and personal boxes)
  • Monitor required training for employees to ensure they are up to date
  • Communicate instructions and information on behalf of the director
  • Arrange meetings to include conference room reservations, off-site venues, Skype, Video Teleconference (VTC), telecom set-up and catering arrangements, if needed
  • Track and order supplies as required
  • Coordinate visit requests using Visitor Registration System (VRS)
  • Create/maintain organizational charts
  • Schedules and coordinates interviews with TA and hiring managers
Required Skills:
  • At least 6 years of direct related administrative support experience supporting executive level leaders including direct interface with customers

    • proven success effectively interfacing with support organizations such as facilities, housekeeping, security, human resources and information technology organizations
    • proficient arranging classified meetings and visit requests
    • performing detailed work with speed and accuracy
    • demonstrated experience using sound judgement for problem solving and multi-tasking
    • works effectively in a team environment, taking initiative and successfully collaborating with the IMDS and SMD Executive Assistant team to ensure a high level of customer service
    • Quick learner with the ability to think and act with confidence; self-motivated and willing to take initiative to improve processes
    • Proficient in the use of Microsoft PowerPoint, Excel, Word and E-mail applications
    • Highly effective verbal and written communication skills including the use of proper phone/e-mail etiquette and clear message taking
  • US Citizenship as this position requires the eligibility to obtain a Secret Clearance with ability to obtain special clearances as needed

This position requires the eligibility to obtain a security clearance. Non-US citizens may not be eligible to obtain a security clearance. The Defense Industrial Security Clearance Office (DISCO), an agency of the Department of Defense, handles and adjudicates the security clearance process.

Preferred Skills:
  • Proficient utilizing Raytheon web-based tools such as Remedy, SAP-TRAK, SPEED, DocuShare and RGEMS
  • Working knowledge of associated Raytheon policies, processes and procedures

Required Education and Experience: High School diploma or Equivalent and 6 years of direct related experience.

This position requires either a U.S. Person or a Non-U.S. Person who is eligible to obtain any required Export Authorization.
