Education Assistance Program Coordinator

We have an opening for an Administrative Specialist to help coordinate our growing Education Assistance Program (EAP) to meet the educational needs of the Laboratory. Under minimal supervision, you will perform a full range of complex and difficult administrative EAP assignments in a dynamic and fast-paced environment with frequent interruptions and conflicting priorities that uses independent judgment, follow through and team collaboration in updating technology and system requirements, new processes, and coordination of administrative/logistic work to support the increased program scope. This position is in the Workforce and Organization Development (WOD) Division.

Note: This is a Career Indefinite position. Lab employees and external candidates may be considered for this position. This is a 100% position (40 hours per week).

In this role you will:

  • Represent management in daily matters to gather, clarify and disseminate information and coordinate activities; respond on their behalf on administrative matters to all levels of management, both internal and external to the Laboratory.
  • Manage, organize, and maintain the GetEducated inbox and communicate education program requirements and processes to students, employees, and education partners via phone, email, and WebEx.

  • Coordinate, select, benchmark and compile data from multiple sources for presentations on reporting key metrics of success.

  • Work within ServiceNow and Education Assistance System (EASy) to aid students and customers.

  • Generate and compose correspondence on own initiative for management signature which may be sensitive in nature.

  • Establish spreadsheets, and user manuals for students and program administration.

  • Plan, organize, market, and coordinate virtual academic information sessions, college Lunch and Learns, college fair, the Annual Recognition Program, Student Policy Committee meetings and other types of conferences/meetings.

  • Prepare, distribute, and manage yearly graduate student survey and assist with the yearly student/directorate/financial Workforce Report.

  • Schedule and assist with proctoring of midterms, quizzes, and exams with academic institutions and students.

  • Perform other related duties as assigned.


  • Ability to maintain a U.S. DOE L-level security clearance which requires U.S. citizenship.
  • Experience working with Webex, ServiceNow, and EASy is preferred.
  • Advanced administrative knowledge and experience including accurate keyboarding, editing, grammar, and proofreading skills; advanced knowledge of office procedures, techniques, and methods.
  • Advanced organizational skills, attention to detail, accuracy and follow through.
  • Experience working under minimal supervision, in a multitask environment of rapidly changing priorities, deadlines, and frequent interruptions.
  • Advanced communication and interpersonal skills necessary to clearly articulate ideas, interact effectively with a diverse workforce, and represent the organization with all levels of management, internal and external to the Laboratory, using tact, diplomacy, and discretion.
  • Advanced comprehension, problem-solving and decision-making skills to anticipate, identify, and independently recommend appropriate actions and solutions to complex administrative problems.
  • Ability to be self-motivated and flexible, exercising a high degree of discretion and mature judgment in handling business sensitive and/or classified information, as well as personnel interactions.
  • Advanced computer skills and experience with the Microsoft Office Suite and database and calendaring software, and the ability to learn new software quickly.

Security Clearance

LLNL is a Department of Energy (DOE) and National Nuclear Security Administration (NNSA) Laboratory. Most positions will require a DOE L or Q clearance (please reference Security Clearance requirement).
