We haveopening for an Administrative Specialist IV to provide advanced administrative support to the Biosecurity Center (BSC) Director, the Chem/Bio Threat Awareness Program (CBTAP) and various Center projects. The Laboratory and the BSC teams with academia, industry, and other government agencies take on the entire lifecycle of a biological threat from awareness to prevention, preparedness to detection, and response to recovery. The CBTAP provides the homeland and national security communities with all-source assessments and data analysis tools to help anticipate, prevent, characterize, and respond to an attack using biological agents. You will work independently and be responsible for planning, developing, performing and coordinating a wide range of advanced and diverse administrative activities with changing variables and multiple factors. You will identify and resolve complex administrative issues, develop and implement new techniques and procedures, interpret policy, formulate recommendations, and establish procedures. You will have frequent interactions with high-level personnel both internal and external to the Laboratory. This position reports to the BSC Administrator.


- Act as a focal point for the Center, represent management in administrative matters to all levels of management, both internal and external to the Laboratory, and respond on their behalf to gather, clarify and disseminate information.

- Represent the organization with all levels of management, internal and external to the Laboratory, exercising a high degree of discretion and mature judgment in handling business sensitive and/or classified information, as well as personnel interactions.

- Manage complex calendars; independently determine scheduling priorities, committing and managing time, and coordinating and scheduling of multiple attendees. Screen telephone calls and independently answer routine inquiries, make referrals, and follow through on requests.

- Serve as a primary personnel action (PAS) initiator for the Center.

- Generate correspondence on own initiative and compose correspondence for management signature which may be sensitive in nature.

- Prepare classified and unclassified correspondence, complex reports, and presentations using data from multiple sources.

- Organize and coordinate on-site and off-site meetings, and external visits to sponsors, including preparation of agenda, badging, passing and/or verification of security clearances, information dissemination, and following foreign national hosting guidelines.

- Prepare local, domestic, and international travel, involving complex itineraries and incorporating and rescheduling as priorities evolve and change- Serve as an administrative team member and assist with special projects.

- Perform other duties as assigned.


- Effective organizational skills, attention to detail, accuracy, and follow through. Experience working under minimal supervision, in a multitask environment of rapidly changing priorities, deadlines, and frequent interruptions.

- Advanced customer service skills and advanced written and verbal communication skills necessary to interact effectively with a diverse workforce and represent the organization with all levels of management, internal and external to LLNL, using tact, diplomacy, and discretion.

- Ability to effectively communicate and collaborate with a diverse range of people and job functions.

- Experience arranging complex domestic and foreign travel.

- Advanced computer skills and experience with the Microsoft Office Suite and the ability to learn new software quickly.

- Demonstrated problem-solving and decision-making skills, mature judgement, flexibility, and reliability.

- Experience working effectively as a team member as well as independently.

Desired Qualifications

- Experience working in a classified environment. Knowledge of LLNL classified material handling and protection procedures.

- Experience with the following LLNL systems: LITE, LEAP, LAPIS, LHIRE, LTRAIN, Cliqbook, ePay, and eCaps.

- Experience interpreting and applying LLNL policies and procedures.

Pre-Employment Drug Test: External applicant(s) selected for this position will be required to pass a post-offer, pre-employment drug test. This includes testing for use of marijuana as Federal Law applies to us as a Federal Contractor.

Security Clearance: This position requires an active Department of Energy (DOE) L-level or Q-level clearance or an active Secret or Top Secret clearance issued by another U.S. government agency at time of hire.

Note: This is a Career Indefinite position. Lab employees and external candidates may be considered for this position.
