Administrative Specialist, Office of General Counsel

We have an opening for an Administrative Specialist for the Office of General Counsel. You will perform a full range of administrative assignments in a dynamic and fast-paced environment in support of the Directors Office.

In this role, you will

  • Represent management and serve as a resource in daily routine matters, represent the Office of General Counsel (OGC).
  • Independently schedule appointments and maintain calendars/conference rooms and monitor staff training compliance in LTRAIN.
  • Establish and maintain databases, spreadsheets and tracking/filing systems.
  • Arrange local and domestic travel.
  • Assist patent assistants and/or general law paralegal with projects and duties as assigned.
  • Process Copyright Registrations and Fee Payments.
  • Screen telephone calls, independently answer inquiries, make appropriate referrals, follow through on requests, review, prioritize and disseminate incoming mail.
  • Coordinate external visits, including verification of security clearances, preparation of agenda, badging, and information dissemination.
  • Property coordinator for OGC.
  • Facility point of contact for OGC.
  • Perform other duties as assigned.


  • Ability to obtain and maintain a US DOE Q-level security clearance which requires U.S. Citizenship.
  • Administrative knowledge and experience including accurate keyboarding, editing, grammar, and proofreading skills; advanced knowledge of office procedures, techniques, and methods.
  • Effective organizational skills, attention to detail, accuracy and follow through.
  • Experience arranging domestic travel.
  • Intermediate computer skills and experience with the Microsoft Office Suite, Entrust, Adobe Acrobat, SharePoint and the ability to learn new software quickly.
  • Effective communication and interpersonal skills necessary to interact with a diverse workforce and represent the organization with all levels of management, internal and external to the Laboratory, using tact, diplomacy, and discretion.
  • Problem-solving and decision-making skills necessary to identify and make recommendations for administrative issues.
  • Experience working effectively as a team member.

Security Clearance

LLNL is a Department of Energy (DOE) and National Nuclear Security Administration (NNSA) Laboratory. Some positions will require a DOE L or Q clearance (please reference Security Clearance requirement above).
